General Description:

The Accounting Assistant is responsible for all payroll, accounts payable, accounts receivable, and deposit activities for the Connecticut Museum, as well as overseeing the Welcome Desk cash drawers. This position also supports and executes other general Business Office responsibilities.

Duties and Responsibilities:

Payroll:

  • Review and verify time and attendance records as submitted by each Connecticut Museum employe
  • Receive and verify wage and salary rates and adjustments including calculating retro pay
  • Make appropriate payroll changes, such as insurance deductions, 403b deductions, direct deposit changes and name and address changes
  • Input, transmit and approve the payroll
  • Verify data from Paycor reports to insure accuracy

Accounts Payable:

  • Receive, code and enter all invoices into accounting system
  • Set up new vendors, as needed
  • Produce a list of outstanding payables for review by the department head
  • Issue checks for the selected payables based upon the payment decisions of the department head. Obtain appropriate signatures on checks.
  • Match checks to the appropriate invoices and mail checks to the vendors
  • Make EFT payments as appropriate
  • File paid invoices and vendor information in the correct vendor file

Accounts Receivable:

  • Receive manually-prepared internal invoices and create external invoices in AccuFund software for mailing or emailing
  • Post payments from customers against outstanding invoices
  • Prepare aging reports as needed for auditors and supervisors
  • Follow-up on delinquent accounts; Notify department heads as appropriate

Deposits:

  • Receive cash and checks from Advancement and Program departments
  • Collect cash from donation boxes
  • Enter items into AccuFund software
  • Photocopy checks; prepare weekly deposit(s); Take deposits to bank

Welcome Desk Cash Drawers:

  • Collect money from cash drawers on a weekly basis, or as needed
  • Count and rebalance cash
  • Deliver cash to Welcome Desk

Other:

  • Act as the point person to maintain and fill postage meter; arrange for service as required
  • Manage office supply purchases; maintain inventory
  • Manage copier maintenance; and supplies
  • Other duties and projects as assigned

Qualifications:

  • Two to three years of similar experience required, particularly with payroll processing
  • Prior work experience and knowledge of a non-profit environment is a plus
  • Ability to communicate effectively and maintain a good working relationship with staff and vendors
  • Familiarity with third-party payroll applications required

Benefits: Eligible for employer contribution to 403(b) plan in accordance with plan provisions, plus paid vacation and sick days, paid holidays based on schedule.

Compensation:$18.00-$23.00 per hour

Tuesday - Saturday 10 am - 5 pm, Thursday until 8 pm
Sunday 12 pm - 5 pm

Research Center Hours:

Tuesday-Saturday 12 pm - 5 pm, Thursday until 8 pm
